Position summary
Biolojic Design, Ltd., a leading-edge company that designs multi-specific human antibodies, is seeking a Temporary PMO (Project Management Office) professional for a one-year position (maternity leave replacement) . The successful candidate will work closely with our Scientific Programs Leads and cross-functional teams to ensure smooth and efficient project execution, aligning with organizational goals.
We are looking for a highly organized and detail-oriented individual with a strong background in project management. The ideal candidate will play a key role in planning, coordinating, and overseeing projects to ensure timely delivery within scope and budget. This position requires excellent communication and multitasking skills to manage various aspects of project coordination effectively.
Responsibilities:
Gantt Planning & Monitoring:
- Develop and maintain Gantt charts, timelines, and milestones in collaboration with the Scientific Program Leads.
- Continuously monitor task progress, update timelines based on actual progress, and escalate delays when necessary.
Resource Allocation:
- Collaborate with stakeholders to allocate resources across departments.
- Monitor workloads and suggest solutions for resource challenges.
Budget Management:
- Track, update, and manage program budgets.
- Ensure alignment with project goals and address budget changes or discrepancies promptly.
Risk Management:
- Proactively identify potential risks and assess probability and impact.
- Create and maintain risk mitigation and contingency plans, continuously monitoring and adjusting as needed.
Stakeholder Coordination:
- Organize and lead planning and control meetings to ensure effective cross-team coordination (e.g., research, finance, legal).
- Align operational activities with scientific goals.
Communication:
- Provide regular updates to stakeholders and management regarding project status, budget, and risks.
Action Items & Meetings:
- Track action items to ensure project tasks progress as planned.
Vendor Coordination:
- Ensure purchase orders (POs) are issued for project-related materials.
- Track and expedite orders while managing contracts with vendors and CROs to ensure timely and budget-aligned external activities.
Standardization and Process Optimization:
- Standardize project management processes across all projects.
- Suggest and implement improvements related to time, budget, scope, and risk management.
- Ensure adherence to agreed-upon SoPs (e.g., Teams channels, project folders).
Continuous Improvement:
- Evaluate and implement tools and processes to improve project performance tracking and management efficiency.
Performance Reporting:
- Generate regular reports on project status (timelines: actual vs. baseline; budget: LBE vs. AOP), highlighting achievements and areas of concern.
Requirements:
- Proven experience in project management, preferably in biotechnology or related fields.
- Strong familiarity with project management tools (e.g., Gantt charts, risk matrices, budgeting tools).
- Exceptional organizational and multitasking abilities.
- Excellent communication skills and a team-oriented mindset.
- Knowledge of vendor management and procurement processes.
- Ability to adapt to a fast-paced environment and prioritize tasks effectively.
- Relevant academic background, BSc. In industrial engineering and management is a plus.
