This position is an entry level role within IMG Media's New York team - Endeavor’s Sports Media Rights group. The position function provides general administrative support to 2 VPs and the wider IMG Media North America team through the management of calendars, phones, emails, travel, and overseeing and liaising with clients to support and coordinate projects and deals. This person will be involved in direct client-facing communication and activities, with an emphasis on learning the business with an aim to develop future talent.

Key Responsibilities and Accountabilities

  • Assist 2 VPs and the team in all professional administrative matters.
  • Directly communicate with the division’s clients, to ensure they are handled and manage appropriately.
  • Core responsibilities include the functions that are generally aligned with the executive assistant role, including - managing schedules, coordinating client meetings, managing phones and meetings, and maintaining a professional manner that is critical for a client facing role.
  • Other functions, and more detail of responsibilities include:
  • Prepare and proof client presentations and related material.
  • Schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements.
  • Anticipate and prepare meeting materials and reports needed by the team.
  • Act as liaison between the 2 VPs and the team and their direct reports, as well as internal and external contacts. Coordinate activities and ensure that requests are carried out.
  • Handle a wide variety of situations and tasks involving the clerical and administrative functions of the office, which often cannot be brought to the attention of the VPs.
  • General travel and expense management.
  • Event planning and assistance.
  • Assists department in special projects as requested by the team and/or department. Provides support to manager's direct reports.
  • This role provides a great opportunity to learn the business, industry, and functions of the wider Endeavor company, so there is an expectation candidates in the role will focus on developing their own skillset and development to hopefully grow into a future business role within the team.

Knowledge and Experience

Mandatory

  • A good knowledge of media trends in sports and entertainment would be advantageous
  • Experience of working in a fast paced, sometimes demanding business
  • Ability to learn and closely follow business practices, resources and personnel within IMG Media
  • Experience of working in sports/entertainment media
  • Experience of working in a professional environment supporting Executive management teams

  • Must be detail oriented and able to juggle multiple high-priority projects at once.
  • Must be an excellent multi-tasker and have proven problem-solving abilities.
  • Must demonstrate accuracy and thoroughness in execution of assigned tasks.

  • Excellent knowledge, with proven experience, of Microsoft Office applications
  • Strong verbal and written communication skills

  • Ability to self-direct and motivate and work with minimal supervision
  • A strong team player that is flexible dependent on business demand
  • Excellent time management skills, ability to work calmly under pressure whilst meeting deadlines
  • Strong organizagtional skills with the ability to multitask and prioritise. Priorities will often change to dictate focus of work - the candidate must have the ability to handle competing demands and last-minute changes effectively
  • Excellent knowledge of MS Office software, including Word, Excel, Outlook, Teams and PowerPoint.
  • Numerate and analytical with the ability to understand and interpret data.
  • Committed to client service excellence and quality business relationships
  • Proficiency in the Adobe Creative Suite would be advantageous

Working Conditions

  • This is a permanent position.
  • This role will be based at our offices in New York, with some flexibility on remote working as appropriate
  • May be required to attend (and travel to) locations, including other IMG buildings and meetings
  • Unsocial hours, dictated as and when by the demands of the business schedule
  • Adapting to use of new systems and technology where appropriate

Hiring Range Minimum:

$21.00 hourly

Hiring Range Maximum:

$28.00 hourly
