Description:

The Executive Assistant position supports the President of Asylum whose time is balanced between a robust active production slate, as well as producing responsibilities. This dynamic and challenging role will exhibit skills such as assertive self-starter with exceptional attention to detail, excellent organization and project management skills, and effective written and verbal communication skills. This role will coordinate multiple schedules; simultaneously juggle the administrative duties of a busy desk; exercise problem solving skills; and evaluate the never-ending flow of material that comes through the production house.

Major Duties and Responsibilities:

  • Support the President by maintaining an organized and structured approach to the workload assigned, as well as the various responsibilities in order to prioritize conflicting needs, proactively and timely handle all matters, and apply appropriate follow-through to ensure successful completion of tasks and projects.
  • Manage the President’s calendar of appointments, meetings, teleconferences and events, and handle logistics of meetings as needed.
  • Manage and process all company expenses and invoice on behalf of the President and submit to Accounting for timely monthly processing.
  • Schedule and coordinate the President’s travel arrangements, including all logistics (lodging, itineraries, agendas, locations, transportation), compile travel-related documents, and maintain accurate travel reports and logs in compliance with various regulatory requirements.
  • Read and review submitted and found materials, providing coverage and feedback to the President for potential projects and partnerships.
  • Demonstrate a high level of professionalism and confidentiality to handle extremely sensitive and/or proprietary information.
  • Attend designated meetings and take notes to be shared with both the President and attendees.
  • Work closely with the Executive and Development team, as well as all Company Department heads on various tasks, projects, and meetings.
  • Liaise internally and externally as necessary with all levels of personnel, clients and business associates with heavy emphasis on networks and agencies.
  • Assist, as needed, with Company Event planning, set up, and tear down.
  • Complete any other various assigned tasks and projects as dictated by both President and other Company Executives.

Education and Work Experience:

  • At least two years’ experience in the entertainment industry is not required but a plus
  • Must be proficient in Microsoft Office (Excel, PowerPoint, Word);
  • Knowledge of the entertainment industry is not required but a plus;
  • Must be comfortable with the Macintosh Operating Systems.

  • Handles confidential matters with discretion and professionalism;
  • Ability to multi-task and handle several ongoing projects simultaneously;
  • Ability to maintain a high level of organization;
  • Great follow-through and the ability to anticipate upcoming work needs;
  • Ability to communicate with staff at all levels;
  • Exhibit excellent grammar and writing skills;
  • Must be extremely self-motivated and comfortable working independently and in a group
  • This position requires heavy correspondence with executives and network personnel.

Requirements:

  • This position is hourly with overtime as deemed necessary;
  • This position operates in a professional office environment
  • This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines;
  • This position will require 10% travel
  • This is a full-time, in-office position.
  • The company office hours are 9:00A - 6:00P. This position will, to best of ability, align with these hours, pending requests from Executive or position/project requirements. This position is eligible for daily Overtime.
  • This position requires heavy computer use so the candidate must be able to sit for the duration of their shift.
